Hi friend,

Have you ever sent an agreement out for signature and gotten a ping back: "What is this?" We have!

So, we made a new prompt for it.

Announcing the newest official GC AI prompt: Approval Cover Email. It helps you explain the agreement to the signer when sending a signature request and, like all GC AI prompts, makes you look awesome.

What does the "Approval Cover Email" prompt do?

This prompt helps you create the perfect message to send along with any signature request. With this prompt, GC AI helps you draft an explanation of what the agreement is about, what the signer is committing to, and why it’s safe to sign.

Note: This prompt is designed to help you, the drafter, explain the agreement to the signer. It does not review or assess whether the agreement is ready for signature.

Let's go through one in detail using this UTEP sponsorship contract. Below is the actual email created with the "Approval Cover Email" prompt:

TO: Aritzia Operations

FROM: Aritzia Legal

Subject: UTEP Sponsorship Agreement - Executive Approval Requested

Hi Mark,

Attaching a sponsorship agreement with the University of Texas at El Paso (UTEP) for your review and signature. Here's what you should know:

Agreement Overview

This is a Qualified Sponsor Agreement that would make Aritzia an "Official Sponsor" of UTEP's Intercollegiate Athletics program. As the Sponsor in this agreement, we'll gain valuable brand exposure in a key market while supporting a respected educational institution.

Our Commitments

  • Financial: A Cash Sponsorship Payment of $[amount] plus potential in-kind contributions (detailed in Exhibit C but not specified in the draft)
  • Insurance: If our employees will be on campus, we need to maintain comprehensive insurance coverage including workers' comp, employer's liability, commercial general liability, and business auto liability
  • Indemnification: We must indemnify the University against claims arising from our negligence or misconduct

What We Receive

  • Official sponsorship status and brand recognition throughout UTEP's athletic programs
  • Rights to use UTEP's trademarks and marks for promotional purposes (with approval)
  • Promotional product and printed material distribution rights at athletic events

Potential Risks

  • The agreement term is tied to a separate "Beverage Agreement" and will terminate if that agreement ends.
  • University can terminate if they determine our affiliation adversely impacts their reputation.
  • All promotional materials require prior written approval, with tight deadlines that could affect our marketing plans.
  • Restrictions on content - we cannot include comparative descriptions of our products, price information, or calls to action.

Recommendation

I recommend signing this agreement as it aligns with our strategy to expand brand awareness in college markets and reinforces our community engagement values. The sponsorship benefits outweigh the restrictions and potential risks.

One concern you might have is the agreement's connection to the "Beverage Agreement" mentioned in Section 2.1. We should clarify whether this creates any unexpected obligations for Aritzia, as the document states our sponsorship agreement will automatically terminate if the Beverage Agreement ends. I can follow up on this point if needed.

Please let me know if you'd like to discuss any aspects of this agreement before signing.

Thanks,
Jane

How do I use the "Approval Cover Email" prompt?

A little backstory...

In 2003, I was a paralegal at Yahoo, and I remember thinking it would be cool one day to… sign things, rather than prepare the document for signature.

Fast forward to GC life and even now running a company … turns out signing things is kind of hard. When you’re asked to sign something and don’t have the full context, you feel like you should know more. A great legal team prevents that feeling and earns trust with every signature request.

To equip a signer, you want to give them context and answer their questions before they’re even asked. And that's exactly what this prompt does!

Try it, and let me know how it goes! And as always, send us your thoughts - I read every note. ❤️

Happy prompting,

Cecilia
